Terms & Conditions
1. Introduction & Purpose
These terms apply from May 2025 and are provided by CoreMed Solutions Ltd, trading as ScanAlign, a service built to support your diagnostic journey with transparency and care.
Why These Terms Matter
We believe clarity builds trust. This page sets out what you can expect from us and what we ask in return when you use our diagnostic scan service. By booking with us or using our website, you’re agreeing to these terms.
Who We Are
ScanAlign is a private diagnostic imaging service based in London, operating under The Harley Street Hospital’s Care Quality Commission (CQC) registration. We specialise in ultra-low-dose, weight-bearing EOS scans to help uncover posture-related pain, chronic issues, or injury risk factors. All scans are delivered under IR(ME)R 2017-compliant protocols, with reports reviewed by a registered clinical practitioner or consultant radiologist.
2. What You’re Getting
Your scan fee covers the complete ScanAlign service, which includes:
- A pre-scan video consultation (free of charge)...
- For paediatric patients, a further consultation shall be conducted with a ScanAlign Doctor via our partners from GP Online, operating under their own CQC licence.
- Justification and referral by an IR(ME)R-trained radiographer (or GP Online for paediatric cases).
- EOS scan performed in a standing, weight-bearing position.
- Four EOS skeletal alignment assessments. For children, three assessments are provided only.
- Consultant radiologist report.
- A post-scan GP video consultation to explain your findings.
- Digital summary delivered to the patient following the video consultation with the ScanAlign Doctor.
- Follow-up support 4–6 weeks after the scan to understand your referral journey and see how else we might assist. (free of charge for the betterment of our service)
3. Who Can Be Scanned & How We Proceed
Eligibility & Referrals
You must be 18 or older, or accompanied by a parent or guardian if under 18. Scans are only conducted once clinically justified. For adults, referrals are processed by our radiographer on the day of your scan. For paediatric patients, the referral is made by a registered doctor from GP Online, our partner provider, who operates under their own independent CQC licence using the completed patient screening.
Consent & Referral
Prior to your appointment, you will be asked to complete a Patient Safety Questionnaire which includes clinical screening and consent confirmation. This consent may be documented in writing or verbally in some cases. No scan will ever be performed without your informed and voluntary agreement, and we are committed to explaining all aspects of the scan so you feel supported and comfortable throughout.
Patient Information & Identification
To ensure your scan is safe and clinically appropriate, we may ask for at least three identifiers such as your name, date of birth, and address. You may also be asked to share any relevant health history or prior imaging. If you are a female aged 12 to 55, we will ask about pregnancy status, including your last menstrual period, to ensure safe imaging practice. Please make sure all information provided is accurate and up to date.
4. How to Book and Pay
You can book online, by phone, or in person. Your appointment is only confirmed once payment is received or a finance plan is approved. If your finance application is unsuccessful, your appointment will not be confirmed until full payment is made by card or bank transfer. We accept card, bank transfer, or 0% finance via our regulated partner, AyanPay.
Your agreement with us starts when your booking is confirmed and payment is received, or when your finance agreement is activated and confirmed by the provider.
We may decline a referral or booking if it poses a risk to safety, clinical appropriateness, or regulatory standards. If so, we’ll explain clearly and respectfully.
We strive to keep our service details and pricing accurate and up to date, so you always know exactly what to expect. If there’s an error, we’ll let you know and give you the option to proceed or cancel. Promotional offers may be changed or withdrawn at any time.
If you need to reschedule, please give at least 24 hours’ notice to avoid a £100 fee. Appointments changed within less than 24 hours may not be reallocated. If you arrive late, we will do our best to accommodate you, but we may need to reschedule depending on clinic availability.
5. What Happens After the Scan
Patient Responsibilities
We ask that you partner with us by sharing accurate and complete information throughout the process. This includes attending appointments on time, safeguarding your personal belongings, informing us of any health changes that could affect your eligibility, and ensuring that your booking details are accurate. If we identify misleading or incomplete information, we may cancel or postpone your appointment to protect your safety and the integrity of our service. You are also responsible for acting on any onward referrals made by our partner GP service, as we are not responsible for managing third-party medical care after your consultation.
Limitations of Liability
While we strive to provide clear, high-quality imaging and support, ScanAlign is not responsible for decisions made by external clinicians. We believe in collaborative care, and while we may refer you to trusted healthcare providers, the advice and treatment decisions they make remain outside of our control. We are not liable for harm, delay, or misinterpretation resulting from any third-party healthcare provider, whether referred by us or not. Additionally, we do not accept responsibility for any indirect losses or third-party site content. Compensation for property damage or loss is limited to direct, proven costs.
